This role is crucial in creating a positive first impression and ensuring smooth operations within the Carers Federation organisation. Volunteers in this position play a vital role in supporting the day-to-day activities of the organisation while gaining valuable experience and skills.

As a volunteer receptionist based at Carers Federation, Christopher Cargill House, you would serve as the first point of contact for visitors, managing the front desk, answering calls, being responsible for internal room booking and providing essential support to ensure a welcoming environment for all visitors. You would also inform tenants in the building of any visitors wishing to see them.

  • Carers Federation, Carers Hub Service
  • Nottinghamshire Hospice
  • Rose Thompson foundation
  • Self Help UK
  • P3 (People, Potential, Possibilities)

Main Duties May Include:

  • Front Desk Management: Maintain a tidy and organised reception area, ensuring it is stocked with necessary supplies and equipment.
  • Greeting Visitors: Welcome all visitors warmly, assist them with enquiries, and direct them to their appropriate appointments or services, ensuring visitors with a physical disability are aware of lift accessibility within the building
  • Phone Handling: Answer and transfer phone calls, take messages, and relay important information clearly.
  • Manage room bookings: Internal room booking for Carers Federation staff and tenants
  • Health & Safety: Support with weekly fire testing, Reporting any H&S concerns and report to relevant person/s.
  • Mail Management: Sort and distribute incoming mail and packages, ensuring timely delivery to the appropriate staff or departments, on occasions franking and posting letters.
  • Safety Monitoring: Ensure the reception area is safe and accessible, reporting any hazards or issues to the appropriate personnel.

  • Interpersonal Skills: Strong communication and customer service skills with a warm and friendly approach are essential for interacting with visitors and staff.
  • Basic Computer Skills: Familiarity with computers and office software is often required for managing schedules and handling enquiries.
  • Organisational Skills: Ability to manage multiple tasks efficiently and maintain a clean and organised workspace.
  • Confidentiality The ability to handle confidential data sensitively and with discretion.
